Compliance Hotline

The Tomoku Group is aware of its social responsibility and will contribute to society through its corporate activities. The corporate activities of our group fundamentally operate on the principle of compliance with laws and regulations.
If you discover or suspect that an action taken by a Tomoku Group company or its officer and employee violates or may violate laws and regulations, the Tomoku Group Code of Conduct or other internal policy, or ethics. Scope of Users

The Compliance Hotline is available not only for our group employees, but also for dispatched or part-time employees working on our premises, foreign workers (such as technical interns), business partners and other third parties to use.

Operating Policy of Compliance Hotline

  • Reporters are encouraged to disclose their names. The Compliance Hotline accept anonymous reports and consultations. However, it might not be possible to fully investigate the facts in case of an anonymous report or provide feedback to the reporter.
  • We protect the personal information of the reporter in accordance with the Privacy Policy. We maintain the confidentiality of the fact or content we received from the reporter, excluding where disclosure is necessary for a proper investigation.
  • We will respond to a report or consultaion in the order received during our business hours. Depending on the nature of the report or consultation, there may be cases where it takes some time for us to respond, or where we may need to contact you via phone or email. We kindly ask for your understanding in advance. Even after a report or consultation case is completed, we will continue to conduct follow-ups as necessary to ensure the reporter is not unfairly treated.
  • When we receive a report or consultation, unless there is a justifiable reason, we will conduct the necessary investigation after obtaining the consent of the reporter. However, if the content of the report is beneficial to the public or is important for the Tomoku Group, it is possible to carry out the investigation without obtaining the consent of the reporter.
  • We will respond to your specific inquiry on an individual basis. We do not permit diversion or secondary use of part or all our response, as well as disclosure to third parties.
  • Depending on the content, your report may be responded by a person in charge from a Tomoku Group company. In this case, we will share the aquired personal information with the Tomoku Group company.
  • The reporter shall not be retaliated against or otherwise treated unfavorably for making a report in good faith. In case there is a possibility that the reporter may be retaliated or otherwise treated unfavorably, we will take measures to prevent such behavior, such as obtaining signed pledge by the person interviewed.
  • The Tomoku group does not tolerate any threats to prevent a reporter from reporting or consulting with the Compliance Hotline, any retaliation against a reporter, or any other actions aimed at obstructing an investigation.
